Primary Purpose:
Under moderate supervision, respond to inquiries from staff, students, parents, and the public; provide requested information and/or referral to the appropriate parties; and direct visitors. Ensure efficient operation of school administrative office and provide clerical services for school’s administrative staff.

Education/Certification:
High school diploma or GED

Ability to operate multi-line phone system
Effective public relations, organization, communication, and interpersonal skills
Ability to speak, read, and understand English
Ability to read and comprehend instructions
Ability to effectively present information in one-on-one situations
Ability to perform a variety of tasks often changing assignment on short notice
Ability to use software to develop spreadsheets, databases, and do word processing
Ability to maintain accurate and auditable records
Proficient in keyboarding, 10-key numerical data entry, and file maintenance
Major Responsibilities and Duties:
Reception and Phones
- Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
- Greet visitors (e.g. public, parents, students, substitutes, vendors, etc.) respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
- Maintain visitor log and issue visitor passes.
- Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
Records, Reports, and Correspondence
- Prepare campus communications, correspondence, forms, manuals, reports, purchase order requisitions, following district standards and requirements. Prepare instructional materials and as requested.
- Maintain a daily teacher attendance log and records for substitute teachers. Monitor and process time records including leave requests and reports. Compile information and submit to central office according to established procedures and deadlines.
- Keep principal informed on upcoming calendar events.
- Compile, maintain, and file all reports, records, and other documents as required. Maintain student records according to established procedures.
Accounting and Inventory
- Prepare and make cash deposits for activity account(s) such as band, athletics, etc. Turn in accurate deposit records to the Business Office.
- Maintain accurate records of expenditures for the campus and forward those records to the Business Office.
- Maintain inventory of fixed assets, equipment, and supplies.
Other
- Assist with planning, preparation, and setup of faculty meetings and campus activities.
- Compile, maintain, and file all reports, records, and other documents as required.
- Sort, distribute, or deliver mail and other documents.
- Administer medication to students, check temperatures, and notify parents of student illness
- Maintain confidentiality.
- Other duties as assigned.
